Frequently Asked Questions?

1. What is the purpose of this collection effort?
The FAA wants to update the national database and assure that a private-use airport owner's facility is represented accurately in all aviation websites and publications using the most current data from the FAA.

2. Who is GCR Inc.?
Under contract to the FAA, GCR Inc. (GCR) developed 5010Web.com, a web-based application allowing federal and state airport inspectors the ability to transmit inspection data to the FAA directly over a secured Internet application.

Since 2004, through an annual grant from the FAA, GCR is responsible for the National Airport Safety Data Collection Program (collection of safety data for all non-primary public and private airports in the NFDC database). The program consists of field inspections of public-use airports being accomplished by state aviation departments. Under the terms of this grant, GCR designs and arranges training seminars in FAA Form 5010-1 inspection procedures twice a year. This project for Private Airports is an extension of the current aviation services performed by GCR.

3. How will the survey be done?
Each non-military, private-use air facility in the current FAA Airport Master Record database will be contacted in the next 12 – 36 months.

A nationwide mail out to all non-military, private-use air facilities is currently underway on a state-by-state basis.

4. Who will the letter be sent to?
The mail out will be sent to the address of the owner of record listed on the FAA Airport Master Record. If there is no owner of record listed, then the mail out will be sent to the address of the manager on record.

5. What will I receive in the mail out?
A cover letter, a contact form, your current Airport Master Record, and a postage paid self-addressed return envelope.

6. How can I help?

  1. Respond promptly to your letter when you receive it.  The letter asks you to return the Airport Master Record and the contact form within 7 days. The more complete the responses are for a given facility, the more efficient the communication will be between the Survey team, the state aviation office and the FAA.
  2. Fill out the contact form.  Having an email address and the preferred airport contact is important, should there be any additional questions or information needed.

7. But I don’t have any changes…
As your letter asks you, please return the Airport Master Record anyway and just mark it as ‘No Changes’ across the face of the form and sign it at the bottom. We’ll enter the date that you returned your form into the Airport Master Record database so that the FAA will know that you have verified your airport’s information and responded to this survey.

8. That airport hasn’t been used in YEARS!
Then let us know. Typically, the request to abandon an airport has an ‘effective date’ so airports aren’t removed from the Airport Master Record database prematurely. If you know that it has been abandoned for years, return the Airport Master Record and write “Abandoned”, sign and date the form and we’ll communicate that to the FAA so that the airport (and your name) can be removed from the Airport Master Record database.

9. When will I get my letter?
The official mail originally started back in September 2010. Since then subsequent mailings have occurred every 12 months on a state-by-state basis, but specific dates have not been established at this time.

10. Why aren’t my changes in the Airport Directory?
The simple answer is that it takes a while for the changes to cycle through the FAA’s various data sources before it gets distributed throughout the myriad of websites, databases, lists, and directories that are based on their Airport Master Record information. If you want to know more, this is the longer answer:

The FAA’s Airport Master Record information is contained in the Aeronautical Information Services (AIS) database and changes are approved and distributed on a 56-day cycle. Your updates are transmitted securely to the FAA where it is reviewed and accepted (or not). Once it is approved, the data is then entered into the next AIS 56-day transmittal where it is picked up by a large number of recipients, websites, list makers, etc.
